Building a travel brief your chauffeur company will love
A good travel brief is a short document that saves dozens of emails. Write it once, share it with your chauffeur company, and every booking starts from the same clear picture.
Who travels
List the regular travellers with the essentials: name as it should appear on a nameboard, mobile number, and the assistant or contact who books for them. If some travellers should never have their name displayed in public, say so here.
How they like to travel
Preferences are what turn a good journey into a familiar one. Quiet or conversational, temperature, still or sparkling water, a preferred chauffeur, a favourite route home. None of it is trivial, and all of it is easier to honour when it is written down.
Preferred vehicle class for each traveller or type of journey · Regular addresses: home, offices, favourite hotels · Accessibility needs or medical considerations to be aware of · Any security or discretion requirements
The rules of your firm
Every firm has its own travel policy. Tell us which vehicle classes are approved for which journeys, who can authorise exceptions and how bookings should be confirmed. We align with your rules, rather than asking you to work around ours.
The best brief answers the questions we would otherwise have to ask at 6am.
Billing and references
Explain how journeys should be charged: by client, matter, department or cost centre, and which reference should appear on each invoice. Getting this right at the start saves your finance team time every month.
When things change
Finally, tell us who to call when plans change out of hours, and how you want to hear about changes: a call, a message on WhatsApp or an email. A clear escalation path means we can act fast and keep you informed.
Send us your brief once and we keep it on file and up to date. If you do not have one yet, ask us and we will help you put one together.
